Erika and I had the pleasure of meeting one of the sweetest and coolest couples ever, Sarah & Dave, a few months ago.  When their Day of Coordination pkg. fell through they needed someone to step in at the last minute.  Somehow, they found their way to Best Day Ever, and we are so thankful they did:)  Although most of the prep work was done, there were still a ton of details to sort through, contracts to review, timelines to create and layouts to be done ~ they were a perfect fit for our Month of Coordination pkg.  We immediately fell in love with Dave and Sarah and couldn’t wait to get started.

Before we knew it, the big day was here!  Sarah and Dave got married this past Saturday, 6.23.12 at Sunset Ranch and had the most amazing ceremony and reception.  It was a pleasure and honor to be a part of such a special day for two very special people but we could not have done it without several wonderful vendors. We just wanted to share a few photos from the event and thank everyone who was a part of Sarah and Daves special day!

A few BIG MAHALOS >>> The delicious food stations were done by Jonas at Island Fusion, cinematography was done by Henry Mochida and Hawaii Wedding Photographer – Hiep Nguyen (we can’t wait to see how the photos turn out! As soon as we get them we will share them here), Colins from Chocolea provided the most amazing chocolate station (I’m talking chocolate covered oreos and espresso truffles that were to die for!), Phillip from Showtime DJs set the tone to the evening with really fun music (which had the crowd begging for more… seriously!), floral decor was done by the fabulous debbie hemingway and her assistant Mark, rentals were provided by Heather and the crew at Accel Rentals, Jeff Peterson set the mood with the best Hawaiian slack key guitar I’ve heard (maybe ever!), Kahu La’akea provided a heartfelt ceremony for the lovely couple, cocktail service was provided by Shaun at Aloha on the Rocks, and of course.. there was the crew (Dania & Greg) from Sunset Ranch ~ Thank you so much to all of you! The event was amazing and turned out to be a great success because of you guys! It was such a pleasure to work with all of you and we can’t wait to work with you again!

OK~ Now on to the BIG day! Saturday, June 23rd, 2012…

The day of Sarah and Dave’s wedding started off not so perfect… as a dark thunderstorm swept over the island for most of the morning hours.  Erika and I arrived at Sunset Ranch at 10 am and began with the set up of the tent and lawn games, but with the rain and wind, we had a tough time, and ended up getting pretty soaked for most of the morning.  As the hours passed we realized that this may not be “just passing showers” and thought it best if we got more suitable coverage for the food tents. We got a call into Dave to make the final decision and reached Accel Rentals just in time to make the change.

As the vendors slowly started arrive, Best Day Ever guided each vendor where to go and assisted with set up ..  and then, out of nowhere, around 2pm, the sun started to come out ~ Horray!  We were keeping our fingers crossed it would stay out for the next few hours and … it did! Check out the orb in the photo below… supposedly they have been showing up in photos taken at very significant events and they are said to signify great love (and the presence of god).  Theres even books written about them (Orbs: their mission and messages of Hope).. Save the Date Postcards

Save the Date Postcards are a fun way to let family and friends know about all the amazing events you have planned for them on the week of your wedding. They also address special details guests need to be aware of on your wedding day.  What a great way to keep guests in the loop and super excited about the days to come!

One of our favorite couples – Sarah and Dave, had an idea to do a Save the Date(s) Postcard / Wedding Map.  I of course, love the idea – of the vintage style wedding postcard and cannot wait to design one for this very special couple. With a little research and a lot of illustrator work.. I was well underway to creating a super personalized beautiful postcard for Sarah.

There were a few key events that needed to be RSVP’d for before the wedding and a Postcard was the perfect way to let guests know all the details.  I decided to use a bunch of fun fonts and Sarahs muted purple and lavender colors and incorporated these elements into a vintage feeling design.  A few more hours of illustrating the personalized map, adding in some key Hawaii landmarks and roadways, and the result…. a perfect Save the Date(s) Hawaii Vintage Postcard!

Hawaii Wedding Insurance – Do we really need it?

Weddings are a HUGE investment and if you’re planning a wedding right now, you’ve probably come to realize that … oh, about 10,000 dollars ago. In Hawaii, an average wedding budget falls anywhere between $12,000 to $100,000 plus. It’s true! When you add up all the bells and whistles, that is the nitty gritty ~ Weddings are big bucks! As with any major purchase in life; buying a  new home, car or piece of art; insurance is offered to ensure that you are “covered” in case the any unexpected situation arises.   Well, weddings are really no different! Most couples have never thought or even heard of wedding insurance, but we would highly suggest it and will give you a little info on exactly what wedding insurance is and how it works. But what exactly does wedding insurance cover? And why should we get it?

 

 

What Is Wedding Insurance?

Basically, wedding insurance protects a couple’s investment from circumstances beyond their control, and reimburses expenses incurred. For example, what if your limo driver doesn’t show up due to a family emergency and you have to book another one the morning of the wedding — for three times the price? Or what if the brides custom-made veil gets lost in customs, and she has to buy a new one the day before the wedding? OR what if your reception space goes out of business a month before the wedding, and you lose your deposit and have to book another space? These are the types of big-day financial losses that wedding insurance can help to protect.

What does wedding insurance cover?

You should read the insurance policy carefully to know exactly what it covers as every insurance policy differs in their coverage. Usually wedding insurance covers the following:

Weather: if there is a storm, thunder showers, hurricane (or any bad weather condition) that hits Hawaii and prevents the bridal party or/and the majority of your guests from coming to the wedding, the insurance will cover the costs of rescheduling the wedding, including all the expenses such as venue, food, flowers, etc. That’s right – all expenses! Talk about avoiding a huge financial loss and extreme bridal breakdown!

Venue: Although most venues are already insured for the couple (hotels, restaurants), some venues (outdoor areas) may not be. If the venue is not insured, wedding insurance will protects the couple from any cost arising from unavoidable cancellations. For example, if for some reason your wedding venue happened to be bought out by the “Hawaii Five-O” crew that weekend unexpectedly at the last minute and you unfortunately could not hold your event there anymore, the insurance would cover any costs related to finding a new venue.

Vendor not showing up: It could happen that your officiant or caterer (the vendors that are critical to your wedding) did not show up for one reason or another.  It may be a traffic accident or a family emergency.  No matter what the cause, your wedding insurance then will cover the costs for postponing the wedding because of this mishap. Or allow you to get another officiant at the last minute.

Illness or injury: If any essential people in your wedding get injured or sick and as a result the wedding has to be postponed, the insurance will cover expenses involved in the postponement.

Some other important Tips to keep in mind when getting Wedding Insurance… 

There are two main types of wedding insurance that can be beneficial to brides and grooms:

Wedding Liability Insurance.  Wedding liability insurance protects the couple and their families from financial liability in cases where they are held responsible for alcohol related accidents, property damage, or injuries during the actual wedding. This type of insurance may be required at certain locations and venues.

Wedding Event Cancellation/Postponement Insurance. Wedding event insurance protects financial investment in the wedding that covers deposits (potential loss of) and cases against extreme situations (weather, accidents, sudden illness) and no-show vendors.

 

So how much does Wedding Insurance Cost?  Wedding insurance does not have to be a huge investment, at WedSafe, policies start at just $75 and average premiums are around $200.

Ultimately it’s up to you whether you want to invest in wedding insurance or not… of course ~ We always recommend it, but the decision is 100% in your hands.  Just keep in mind, weddings are a huge investment and a once in a lifetime event… we would hate for you to lose all that money just because you didn’t buy a small policy.

DIY Mondays – Rope Words!

Happy Monday everyone!  Today we have another fun + super easy DIY for your wedding day from one of our favorite wedding blogs Green Wedding Shoes (shared via Jessica + Garett over at Wednesday).  Here’s why we love it:. Great signage always makes for great photos and makes a really fun first impression on guests!  These rope signs make wonderful “Mr.” and “Mrs” chair signs, “just married signs”, “mahalo for joining us!” thank you signs, etc!  The options are endless!  Here’s the best part, this particular project takes only about 10 minutes from start to finish.  Read on for step by step directions.

Step #1: Check out the supply list above and get yourself a nice, open, clean area to work on.  Once you have all your supplies, you can start by laying down the wax paper.

Step #2: Next pick a word or phrase you want to write out in rope. Very important: Keep in mind that the longer the word the more flimsy it will be dried. If you feel really confident with your artistic skills, you can write out your word in script freehand, however, if you aren’t so confident, it may be a good idea to sketch out your word out on the wax paper to trace your rope over. Don’t worry about getting it perfect, you have some time to adjust the words slightly while the glue dries if you don’t get it right the first time.

diy, diy mondays, diy weddings, rope wordsStep #3: Next mix the cornstarch, glue and warm water together in a mixing bowl until it’s not clumpy and nice and smooth.

diy, diy mondays, diy weddings, rope wordsStep #4: Put the rope into the glue mixture and allow the rope to be fully saturated by the glue.

diy, diy mondays, diy weddings, rope wordsStep #5: Shape the rope into the word you are writing out. Push down hard in the areas where the rope overlaps. You may also need to apply extra glue mixture to those areas to ensure the hold when dried. And that’s it! Once you’ve finished let your word dry on a hard, flat surface for 12 hours.

Summer Outdoor Weddings: Top 6 “Must Do’s” when Saying “I Do”

Everyone loves the idea of a beautiful outdoor wedding, but until you are 5 months deep in the planning process, you might not realize just how much work an outdoor wedding really is. Because we specialize in outdoor weddings, we know how many details really go into planning the outdoor wedding of your dreams.  Today we’ve got a special treat ~ We’re sharing our Top 6 Tips for Outdoor Weddings. They should give you a little bit of insight to planning an outdoor wedding and a few ideas that can help ensure everything runs smoothly and goes according to plan.

Top 6 Tips for a Hawaii Outdoor Wedding:

 

Tip#1: Choose a Back-Up: It doesn’t matter what month or season of the year it is, even in Hawaii, there is always a chance of torrential downpours, so – always always have a back-up plan! I’ve seen too many wedding ceremonies get rained on and everything go to waste to not make sure you have planned for the worst case scenerio. It is always a good idea to research some places that could be used as a last minute rental (if you have a smaller wedding), or to have an oversized tent on-site that you can scoot your guests and tables under in the event of light rain. Keep in mind this may mean that you have to pay for the tent ~ even if you don’t use it.  But let me tell you.. if it happens to rain, you will be so happy you had that tent on hand.  It also helps to have a wedding planner as it will be his or her job to be sure to let everyone who is going to be a part of your special day, including guests, your bridal party, caterers, florist, band, etc, know where your back up location is PRIOR to the day of your wedding. It will also be your wedding planners job to access and handle the situation as it occurs, creating a seamless transition from under the stars to moving under a tent incase the rain starts. If you have a smaller party and a back up location you can always include a space on the bottom of your invitation that reads something like: In case of rain, our wedding will be held at xyz.

Tip#2: Hire a GREAT Caterer. Unlike hotel venues, outdoor weddings require hiring a caterer. You want to choose someone that is reliable, a great chef, and whom has a awesome crew.  The catering crew can assist with set up of tableware and linens, and even washing the dishes you rented! Many times the catering tema also helps w/clean up.  Check with your caterer to make sure a staff is included. They will be a huge help in the coordination and execution of your event.

Tip#3: Be Heard. If you’re outside in the mountains or down in the valley, there will always be background noise. Whether it’s the rustling of trees or the ocean waves behind you, your guest should always be able to hear your vows, program and music clearly. Make sure the DJ, all microphones and the speakers are in appropriate places to enable everyone to hear perfectly and comfortably. Quick Tip: Be sure your wedding planner does a sound check before the wedding. This way, any changes and adjustments will be taken care of prior to you saying your vows.

Tip#4: Choose the Proper Florals and Centerpieces: The last way you want your wedding night to be remembered is that all the vases flew all over your guests food.  You will be surprised at how common this actually is.  Be sure to choose the right vases and centerpieces for the location.  We tell all of our brides who are having an outdoor wedding to make sure the base of the vase is larger than the mouth.  Simple square vases or short floral fillers work best.  It just takes one gust of wind to take down a centerpiece and the last thing you want is for spilt water all over your guests food or clothes.

Tip #5: Be wary of Mosquitos.  In Hawaii, there are (unfortunately) many places that have mosquitos.  Make sure you are prepared for that unexpected muggy day where the mosquitos or other bugs might come out. It’s best to access the space ahead of time durring the hours of your wedding to see how many critters actually come out.  Citronella candles and mosquito spray are great to always have on hand just incase.  Mosquito bites can really ruin the ambiance of of any event, be sure to always be prepared for the worst possible situation. Tiki Lamps and Citronella candles will enhance the feel of your summer wedding and keep bugs away!

Tip #6: Get a Wedding Planner. When having an outdoor wedding, you will need someone to oversee the 4-12 different vendors you have arriving and someone to manage all of the details including tent set up, table set up, ceremony area set up, music, lighting, guests, decor, making sure you stay on time, a just incase rain plan, and so many other things. This is why so many outdoor wedding venues are now requiring wedding planners… because they have seen first hand how horribly wrong outdoor weddings can go when there is not one person or a team of people overseeing the execution of the wedding day.  Because everything must be brought in, it is key to make sure someone is there telling everyone where to go, what to do and how quickly they need to do it.  Wedding planners have plenty of experience with trouble shooting and can ensure any and every problem is confidently addressed before you even have a chance to hear about it.  You cannot expect aunty or a best friend to handle these things (well not if they plan on being a part of and enjoying the festivities). Do yourself a favor and hire a wedding planner, it is worth the piece of mind! Hint: Make sure you hire a wedding planner who specializes in outdoor weddings and has a lot of first hand experience with handling weddings outdoors.

 

We hope these tips helped a little in your wedding preparation.  Outdoor weddings, though beautiful, do require quite a bit more preparation and a lot more day of details. Make sure you have every detail covered ahead of time to ensure you have your “Best Day Ever!” on your wedding day!

Share the Aloha – Micah & Rhochelle… a BIG Mahalo!

A big Thank You to Micah and Rhochelle for donating their archway pieces to our “Share the Aloha” program.  I was able to hand-deliver the florals to two separate Senior Care homes in Manoa (Manoa Senior Care) and let me tell you… they were nothing short of thrilled!

 

Jane and Hazel both wanted to personally thank Micah and Rhochelle for the “BEAUTFIUL Flowers!!” Hazel could not believe that the couple would be so kind as to share such a gorgeous and giant centerpiece with them. She kept saying “No, really? Wow!!! You be sure to tell them Thank YOU!”

For any of our couples (or even if you are not one of our couples.. ), If you would like to donate some of your florals (even if it is only the archway pieces, it doesn’t matter), please send us an email at dropaline@bestdayeverhawaii.com and we’d be happy to arrange all the details.  We also do donations to Kapiolani Medical Center, working directly with the cancer childrens floor.  All donations are hand delivered by myself and /or erika and we always send you photos and attach a note from you to the florals.  Senior’s especially LOVE them! It’s really a great way to make a difference in someones life! Free of charge, we do it just for the smiles!! 🙂 🙂 🙂

Erika and I had the pleasure of being a part of a very special couples “Best Day Ever” recently and I wanted to share a few photos from the event.  On Saturday, May 26th, 2012 at Loulu Palms, Micah and Rhochelle tied the knot in front of their closest friends and family and we were lucky enough to witness the whole thing!

We arrived onsite at 9am and began setting up and organizing the event space,  working together with Pacific Party Rentals to lay the foundation for a beautiful wedding. The beautiful bride Rhochelle and her entourage of sexy bridesmaids arrived early as well to get prepped and pretty for the big day. Super fab Lawrence Patricio and his team wasted no time getting the girls ready… and what an amazing job he did! Maid of Honor, Livia “Bheng”, Bridesmaids, Katrina, Chai, Sol, Donna, & Romina, and Junior Bridesmaid – Jozette (the brides beautiful daughter) all looked amazing!  The turquoise dresses all were so pretty!  Gorgeous group of girls!  Also pictured here (in front with the shell lei) is little Chloe who did two very impressive solos on stage for the bride and groom. Chloe’s two songs were a heartwarming gift for the bride and groom!  Chloe is part of Chaotic Fire… an extraordinary local classic rock band made up of of several really talented kids – yes kids!  I’m totally serious.. and believe me, they can really rock out – in fact, I was so impressed I wanted to share their video here: (Chloe is the lead singer in front!)

Really ridiculously great right?!!  Ok – back to the wedding…

Slowly more vendors started rolling in.. all there to help us bring this gorgeous event to life. Kristina, Carol, Linda and the entire crew from Loulu Palm helped to make sure every detail was executed flawlessly.  Dian and the crew from Kanak Attack provided a delicious Hawaiian spread, that had everyone back for seconds, thirds and fourths. Shaun from Aloha on the Rocks brought in his entire bar set up and did a remarkable job making sure all the guests were always taken care of with a fresh mojito (the brides  favorite)  or cold heineken throughout the night. And as always, Shaun was such a pleasure to work with! Hawaii Bartending at its best!

 

The bride and groom bought one of our basic wedding graphic design packages which helped create a fun “Hawaiian, Tropical in Turquoise and Dark Brown” theme… It included bar, tip and bathrooms signs, hand painted wooden signs on posts, framed photos, sign in table, “reserved for” and table number signs and more! To bring this tropical theme together we worked with Pat of Volcano Orchids to create tropical centerpieces surrounded by large and small beautiful island shells and turquoise and brown chocolate boxed favors. I was able to purchase lots of amazing large, beautiful shells and starfish from the Hawaii Swap Meet to create a fun beach inspired centerpiece design.  I even decided to create table sign holders made of coral and wire for each of the table numbers… as an extra design factor – which took a little more time than I anticipated but turned out great!  Here are a few photos of the centerpieces… For design on a budget I think these turned out so pretty!  Don’t you agree?!  A Special Mahalo to Hawaii Wedding Florist – Pat for making the gorgeous centerpieces and arch pieces!loulu palms, loulu palms estate, loulu palms wedding, estate wedding, hawaii wedding, oahu wedding, best day ever hawaii, micah and rochelle

As I set up the centerpieces, Erika and our two fantastic assistants Tyson and Matt helped with the rest of prep. Soon after, JT Sounds, arrived to begin setting up the sound system and got ready for the photo and video work. We were very impressed that this one stop shop was able to handle all the sounds, the photos and the videography – plus a same day edit all at one time! They really did a great job!

Meanwhile groomsmen and emcee, Derrick and Maid of Honor, Livia had a few drinks waiting for the festivities to start.  May I also mention that Derrick did quite an impressive job at the mic.  It’s been a while since we’ve seen such great emcee work! He had the crowd totally in the mood from the moment he took the mic!

And finally, the ceremony has begun!  Groomsmen Joel, Jonathan, Matthew, Rex and Derrick accompany the beautiful bridesmaids at the alter and surround the couple as Pastor Ron Valenciana delivers a intimate and lovely ceremony.  It was really a special moment and I must admit that when the bride started choking up I did as well.. even all the way in the back with the sun in my eyes.  A BIG Congratulations to Micah and Rhochelle ! You are truely, such an amazing couple and we felt so privileged to be a part of your “Best Day Ever!”

Fisheye ~ the best in Wedding Videography

I am secretly in love with everything FishEye Studios does.  They have a really sweet way of bringing out the emotion and capturing the perfect moments on film. I love their style and way they incorporate music at all the right times. Heres a recent video they did of Darren and Stephanie I just had to share.

We’d also like to wish a big Congrats out to Darren and Stephanie!! You guys are seriously the cutest!!
